We accept payment by bank transfer or Paypal. Payment must be received and cleared 3 working days in advance of appointments. Please consider this when selecting your method of payment.
For all assessment packages, the initial consultation is payable upfront and there is no obligation to continue to a full assessment. Following the initial consultation, should you then decide to proceed the remainder of the package fee is payable prior to your first assessment session.
We do offer payment in instalments as we recognise the cost of assessments can be high. This is usually done by paying for each component of your assessment individually, which may prolong the process. Feel free to ask about this during your initial consultation.
Appointments are offered on a first come, first served basis, and are not confirmed until payment has been cleared (see payment section above).
If you have paid for your session and find yourself unable to attend, you are kindly requested to let us know at least 48 hours in advance. Failure to provide this notice period will result in the fees pertaining to your appointment being charged. You will then need to pay for any subsequent sessions booked as per our terms above. You will be reminded of this at the time of booking and/or payment.
If we need to cancel an appointment for any reason, we will endeavour to provide as much notice as possible. Fees for sessions cancelled by us will not be chargeable. If you have already paid for the session, fees can either be retained in anticipation of a rescheduled session, or refunded if you do not wish to rebook.
Please note that in order to receive feedback including a formal diagnosis and report, you will need to engage with the full assessment process. We cannot draw any conclusions based on an incomplete series of assessment sessions, to ensure we adhere to professional standards, code of conduct and national guidelines for assessing these conditions.
The cost of assessment reflects the process of completion, including the time taken to administer and write up the assessment, and overheads such as forms and equipment hire. The cost will therefore be the same regardless of the outcome in relation to diagnosis. We cannot guarantee that the process will result in a diagnosis, and no refunds will be given if you are unsatisfied with the final conclusion.
We generally cannot specify exactly how long each assessment will take in advance as it varies greatly from person to person. Charging a flat rate per assessment ensures that all clients receive the same quality service, and no discounts to fees will be given if an appointment takes less time than originally estimated. At your initial consultation we can discuss timescales once we have established which assessment tools are most appropriate and who needs to be involved.
We do not operate as an emergency or crisis service. If you feel that you need support urgently, please contact your GP, out of hours GP or emergency services. For someone to talk to, The Samaritans can be reached on 116 123 or jo@samaritans.org.
Exploring Minds Psychology Limited is registered as a Data Controller with the Information Commissioner's Office (ICO) as required by law. As part of our work with you, we gather information which is pertinent to your assessment, as well as allowing us to innovate and improve our practice. This information is necessary in order to complete your assessment, and we have a legitimate interest (as well as sometimes a legal obligation) in using this data to provide a service to you.
The records we hold are subject to the General Data Protection Regulation (GDPR) May 2018. We collect personal data such as your basic contact information. Some of the information we may collect is classified as sensitive personal data. This may include (but is not limited to) details of your physical or mental health, relationships and any offending behaviour. If you are referred by a third party, then we will also use information provided by that organisation.
We only use this data (where relevant) to provide the service(s) you have requested from us. We will not share your personal information with third parties for marketing purposes. Records are kept in line with the NHS Code of Practice for Records Management (Records Management Code of Practice for Health and Social Care 2016). You have the right to request that we delete your data prior to this, although we cannot guarantee that we are always able to do this due to our professional requirements. Please discuss with us if you have any concerns about this.
Any information gathered about you during the course of our work together is stored securely in line with GDPR requirements and treated confidentially. We may need to share information with others in a number of situations: if your assessment has been instructed by a solicitor then we are legally obligated to share relevant information with them; if your assessment is being funded by a third party then we will share necessary information with that organisation for the purposes of billing; if we have concerns that you or someone else is at risk of harm; or when disclosure is in the public interest (to prevent a miscarriage of justice or where there is a legal duty such as a Court Order). Should any of these circumstances apply, we would always aim to discuss with you first.
You have the right under GDPR to access personal data that I hold about you and make a subject access request to obtain this information. If you wish to do this you will need to put your request in writing and provide evidence of your identity such as a copy of your passport or driver’s licence and proof of your address. When we receive this we will respond to your request within 30 days.
When we start working together we will ask you to sign our Terms and Conditions. By doing so, you confirm that you understand and agree to the information above.
